Introduction


In our day-to-day work, we pay particular attention to privacy protection. That is why we commit to respect the privacy of the personal data we collect.


Why do we collect your personal data?


In order to carry out our mission, personal data collection is useful on several levels:

  • Your contact information (first name, last name, email address, and phone number) allow us to inform you of our upcoming events, and reach out if there is a problem;
  • Your postal address allows us to check that you reside in our province, as serving our local population is an important element for our funders and sponsors;
  • Data about your general whereabouts and the devices you use to surf on our website is useful to enhance user experience;
  • Your email address allows us to send you our newsletter.


How do we collect your data?


Personal data may be collected in a number of ways: 

  • When you communicate with us through our website’s contact forms or via email;
  • When you register on our website;
  • When you sign up for events;
  • When you buy merchandise and books through our online shop;
  • When you make a donation through Zeffy;
  • When you surf our website or mobile application.


Where is your data stored?


Our organization uses Google’s Cloud services, located in the United States, to store our audience’s data.


For data collection and to perform other actions, other platforms may be used:

  • Newsletters: a list of names and email addresses of people who are signed up to our newsletter is saved on CyberImpact and Odoo (100 % Canadian platform);
  • Event registration: when our Odoo website is used for an event, Odoo stores your information and gives it to us;
  • Website registration: when you sign up through our website, your personal data goes through Odoo, whose servers are located in Canada, Belgique, or the United States (Amazon S3), depending on the type of document.


How does Google use your data?

Google provides analytics and cloud storage services that we use as part of our operations.

Google Analytics is used to analyse traffic and usage on our website, in order to improve its functionality and content.

Google Drive is used for the storage and management of documents relating to the organisation’s internal operations.

Why does Google use your data?

Google processes certain data primarily for:

  • statistical analysis of website traffic (Google Analytics);
  • the provision of storage, backup and collaboration services relating to operational documents (Google Drive).

The data collected by Google Analytics is used for statistical purposes and is not used to directly identify individual users of the site.

How does CyberImpact use your data?

CyberImpact is a platform for managing newsletters and email communications. We use this service to manage our mailing lists and ensure our newsletter is sent out.

Why does CyberImpact use your data?

CyberImpact primarily processes the following data: surname, first name and email address, for the purpose of:

  • managing newsletter subscriptions and unsubscriptions;
  • ensuring the delivery of email communications;
  • generating statistics related to email campaigns (open rates, clicks).

The data used by CyberImpact is used exclusively for communication and analysis purposes, and is not used for commercial purposes by the platform.

How does Odoo use your data?


Odoo is an event management software. We use this service to showcase our programming online, and to allow you to register for events and buy merchandising and books.


Odoo collects information at different stages of its use:

  • When creating an account and purchasing tickets (name, address, postal code, phone number, email address, credit card number and expiry date, product and service preferences);
  • When you visit the website:
    • data regarding your computer, including your IP address, operating system and browser types, computer location;
    • website pages visited, links clicked, sites that redirected you;




Why does Odoo use your data?


Odoo collects your personal data for the most part in the following cases:

  • application form
  • complaints
  • customer service
  • orders
  • to finalize a sale / transaction (name, address, postal code, phone number, email address, credit card number and expiry date, product and service preferences).


In the event of a sale, if necessary, your data may be shared with the credit card payment platform in order to authorize the transaction.

What personal information appears on your public Odoo profile?


When you register on Odoo as an audience member, you can add public information, such as: biography, stage name, social media links, and photo. Providing this information is in no way mandatory. You can publish, modify, or delete your personal data at any time by visiting the section “My account”. 


If you’d like Odoo to delete your information for you, you can submit a request to support@odoo.com, and they will permanently delete your data.


Who can access your data?


Only our employees and Odoo administrators can access this data. Their data storage access is protected by two-factor authentication. 


Our employees and administrators are contractually obligated to respect your data privacy.


Please note that there is no such thing as zero risk when it comes to IT security. We do everything in our power to protect your data, but we cannot be held responsible if someone with malicious intent gains access to our systems.


What are your rights when it comes to your data? 


You are entitled to ask us to provide, to modify, or to delete your personal data.


You are also entitled to ask us to cease using your personal data for specific purposes. For example, who can ask to be removed from our newsletter list, whilst remaining a member of our organization.
